Office Administrator

Rising Hope Mission Church (United Methodist) is a religious organization whose primary mission is to work alongside the least, the last, the lonely, and the left out of the world, particularly those who reside along the Route 1 Corridor in Alexandria, VA.  Working at Rising Hope grants you the opportunity to dive deeper into your faith as you work alongside those in whom Christ has shown friendship and blessing.  This position reports directly to the Pastoral Staff and the Director of Operations.


Office Administrator Job Responsibilities:


  • Manage incoming phone calls, voicemails and emails with assistance of volunteers
  • Manage church calendar, including room reservations and outsourced ministries
  • Ensure church monetary donations and incoming donations are placed in safe
  • Ensure letters are prepared to donors over $500 and cards for $1,000 plus
  • Act as point-of-contact for all committee and board members
  • Maintain accurate records of staff sick leave, annual leave and comp time
  • Act as point-of-contact for security company and manages building security system and access
  • Maintain all administrative equipment
  • Process registrations for all classes, functions and events.
  • Maintain communication with the District to ensure that all report deadlines are met, information is provided  for the newsletter (in consultation with JaM), and that District information is provided to  the Rising Hope congregation.
  • Handle yearly church conference and administrative needs for annual district conference
  • Assist Director of Operation in maintaining all files for employees in accordance with state/government laws
  • Maintain administrative supplies and orders for weekly lunches, custodial and staff needs, and general overall supplies.
  • Work with finance team members to distribute end-of-year tax mailings to all donors.
  • Create and maintain flyers as needed for operations/upcoming events
  • Assist with updating/maintaining membership database
  • Handle Rising Hope administrative needs for events such as retreats, picnic, tent revivals
  • Format and print and Sunday bulletins

Secondary (if needed):

  • Monitor/train volunteers as needed
  • Help with receiving food and clothing donations when needed
  • Conduct tours of Rising Hope for donors, visitors or volunteers
  • Coordinate and schedule repairs needed on facility or equipment such as commercial grade refrigerators or freezers
  • Maintain and schedule custodians for normal operations and 7 days a week during hypothermia season
  • Assist with media for Sunday worship service

Education and Experience Requirements

  • High school diploma or equivalent education required
  • Prior Administrative Office Experience 
  • Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
  • Valid driver’s license and current automobile insurance
